HVAC

AI Receptionist for HVAC Companies

When a homeowner has no heat in January or no cooling in July, they call one company after another until someone picks up. Avanon Pulse answers the calls and texts your HVAC office cannot get to, so an overflow call at noon or an emergency at midnight becomes a booked job instead of a missed one.

How it works

  1. 1

A homeowner calls or texts your existing business number. If your team cannot pick up, Pulse responds within seconds rather than letting it roll to voicemail.

  2. 2

Pulse texts the caller and has a real conversation. It asks whether it is no heat, no cooling, or a routine request, gets the address, and learns how urgent it is.

  3. 3

It writes up a clean lead and sends it straight to your dispatcher or your phone, so the next move is scheduling a truck, not chasing a voicemail.

  4. 4

Avanon sets it all up and runs it. We onboard your business, load your service area, hours, and pricing, and operate the system so your office is not learning new tools mid season.

What HVAC companies lose to missed calls

Peak season buries your phones.

The first heat wave and the first cold snap bring more calls than your office can answer at once, and the ones you miss are booking with the next company on the list.

Emergencies do not wait for business hours.

A furnace that quits at eleven at night is an urgent, high value job, but if no one answers, that homeowner keeps dialing until someone does.

Every unanswered quote is a contract you never pitched.

The homeowner who could not reach you today rarely calls back tomorrow, and the maintenance contract goes with them.

Frequently asked questions

Is this going to replace my office staff?

No. Pulse covers the overflow and the after hours calls that were already going to voicemail. Your dispatcher and office keep running the day, and the calls they cannot reach still get answered.

Can it actually talk to callers on the phone?

Right now Pulse answers inbound texts and texts back on missed calls within seconds, which most homeowners are happy to use for a service request. Direct voice answering is in active development and is coming soon.

Can it tell an emergency from a routine tune up?

Yes. It asks what is going on with the system, whether there is no heat or no cooling, and how urgent it is. An emergency gets flagged to you right away, and a routine request gets captured for scheduling.

Does it know my pricing and service area?

During onboarding we load your service area, your hours, your dispatch fee, and any rules you want it to follow. If a caller is outside your area, Pulse can tell them instead of creating a dead lead.

How much work is this for me to set up?

Very little. Avanon runs it as a managed service, so we handle the configuration and connect it to your existing number. You are not the one building anything.

What does it cost per month?

Pulse runs around two thousand dollars a month, fully managed. For most HVAC companies that is covered by saving a handful of service calls that would have gone elsewhere.

Keep no heat and no cooling calls on your books
